Order Acceptance Policy

This policy explains when an order is considered submitted, reviewed, accepted, processed, delayed, modified, cancelled or refused by PEPTIQRA.

Submitting an order, completing checkout, requesting a quotation, receiving an invoice draft, making payment or receiving an automated confirmation does not automatically mean that the order has been finally accepted by PEPTIQRA.

An order is considered accepted only after PEPTIQRA has reviewed the order details, confirmed payment, confirmed product availability, confirmed shipping feasibility, reviewed applicable risk factors and approved the order for processing. PEPTIQRA reserves the right to refuse, cancel, delay, modify or request additional verification for any order to the maximum extent permitted by applicable law.

1. Order Submission

Submitting an order is a request to purchase

When a customer places an order through the website, WhatsApp, email, invoice request, quotation confirmation or other official communication channel, the customer is submitting a request to purchase products under the applicable policies and order terms.

  • Order submission does not guarantee product reservation, final price, stock availability, shipment, delivery or order acceptance.
  • Website checkout completion does not automatically mean the order has passed payment, inventory, compliance or fulfillment review.
  • Automated emails, payment notifications or order numbers may acknowledge receipt of an order request but do not necessarily represent final acceptance.
  • PEPTIQRA may contact the customer to confirm product details, quantity, shipping destination, payment status, documentation requirements or other order information before acceptance.
Customers should review product name, specification, quantity, price, shipping destination, payment method, local compliance and order requirements before submitting payment.

2. Order Review Process

How PEPTIQRA reviews orders

Before an order is accepted for processing, PEPTIQRA may review the order for accuracy, feasibility, payment status, stock availability, shipping risk, customer eligibility, destination restrictions and other operational or compliance factors.

We receive the website order, WhatsApp confirmation, quotation confirmation or payment notice.

Details Checked

We review product name, quantity, destination, shipping information, payment method and customer details.

Risk Reviewed

We may review payment risk, inventory status, shipping route, destination restrictions and compliance concerns.

Order Accepted

The order is accepted for processing only after required checks are completed and approved by PEPTIQRA.

3. Final Order Acceptance

When an order is considered accepted

An order is considered accepted only when PEPTIQRA confirms that the order can move into processing, packaging, documentation preparation or shipment arrangement. This confirmation may be provided through order status update, written communication, WhatsApp confirmation, email confirmation or actual fulfillment activity.

Accepted for Processing PEPTIQRA has approved the order to move into processing, packing or shipment preparation. Processing may still be affected by shipping, carrier, customs or force majeure events.
Dispatched The package has been handed to the carrier or logistics provider. Delivery timing depends on carrier operations, customs and destination-country conditions.
Order status terms may vary depending on website settings, payment provider, ecommerce platform and logistics provider. The practical status of the order will be determined based on PEPTIQRA’s internal records and fulfillment activity.

4. Reasons an Order May Be Refused, Held or Cancelled

PEPTIQRA may refuse or cancel orders where appropriate

PEPTIQRA may refuse, hold, delay, modify or cancel an order before final acceptance or before shipment where permitted by applicable law and payment processor rules. Reasons may include, but are not limited to:

Price or System Error

Pricing error, product description error, discount misuse, website display error, shipping fee error, quotation error or technical system issue.

Shipping Restriction

Undeliverable address, restricted destination, unavailable carrier route, remote-area limitation, customs risk or destination-country delivery concern.

CMP

Compliance Concern

Restricted party concern, sanctioned destination concern, unclear customer information, import risk, policy violation or legal uncertainty.

INF

Incomplete Information

Missing recipient details, incomplete address, incorrect phone number, unclear product requirement, inconsistent order information or failure to provide requested confirmation.

5. Customer Information Requirements

Customers must provide accurate information

Customers are responsible for providing accurate, complete and current information required for order review, payment verification, shipping, documentation support and compliance review.

  • Customer name, business name or recipient name where applicable.
  • Valid phone number, WhatsApp number or email address for order communication.
  • Complete billing and shipping information, including country, region, city, postal code and delivery address.
  • Correct product name, quantity, specification, packaging requirement and document request.
  • Destination-country information, import-related information or compliance confirmation when requested.
  • Payment confirmation, PayPal transaction record, credit card order reference or other payment proof when necessary.
PEPTIQRA is not responsible for delays, failed delivery, customs issues, order errors or losses caused by inaccurate, incomplete, outdated, false or misleading information provided by the customer.

6. Payment and Order Acceptance

Payment does not automatically equal acceptance

Payment must be received and verified before an order can move into processing. However, payment receipt, payment authorization or PayPal payment completion does not automatically guarantee order acceptance, shipment or product reservation.

  • Credit card payments are subject to payment provider authorization, fraud review, settlement and verification.
  • PayPal payments must be made only through the official PayPal payment link provided by PEPTIQRA sales.
  • Payments made to unofficial accounts, incorrect recipients or unauthorized third parties are not PEPTIQRA’s responsibility.
  • If payment is received but the order cannot be accepted, PEPTIQRA will review cancellation, refund or modification options according to the payment status, order status and applicable policies.

7. Pricing, Inventory and Website Errors

Orders affected by errors may be corrected or cancelled

PEPTIQRA makes reasonable efforts to keep product information, prices, inventory and shipping details accurate. However, errors, inaccuracies, outdated information, technical issues, display problems or system delays may occur.

  • PEPTIQRA may correct pricing, product, discount, inventory, shipping or quotation errors at any time before final order acceptance.
  • If an error is discovered after payment, PEPTIQRA may contact the customer to confirm corrected terms, offer order modification, cancel the order or review applicable refund options.
  • PEPTIQRA is not required to fulfill an order based on an obvious error, unauthorized quotation, system malfunction, inventory mismatch or incorrect website display.
  • Customers should contact us before payment if any price, product description, quotation or shipping term appears unclear or unusual.

8. Product Availability and Substitution

Availability is reviewed before acceptance

Product availability may change due to production schedules, batch release, quality-control review, stock movement, supplier availability, bulk orders, shipping restrictions or customer reservations. Product availability shown online or discussed in communication may not always reflect real-time stock.

  • Stock is not guaranteed until the order is accepted for processing.
  • If a product becomes unavailable, PEPTIQRA may offer an updated lead time, alternative batch, partial shipment, order modification, store credit, cancellation or refund where appropriate.
  • PEPTIQRA will not substitute a materially different product without customer confirmation.
  • Minor differences in packaging, label layout, batch number, document format or product appearance may occur depending on actual batch and supply conditions.

9. Special, Bulk, Private Label and Custom Orders

Special orders may require additional acceptance terms

Bulk orders, wholesale orders, private label orders, custom packaging orders, reserved-stock orders, special-order items and custom sourcing requests may require separate review, written confirmation, deposit, production schedule, label confirmation, document confirmation or additional business terms.

  • Special orders may not be accepted until all product, quantity, price, artwork, packaging, shipping, payment and compliance details are confirmed.
  • Special-order costs may become non-refundable after sourcing, production, packaging, batch reservation, label design or preparation begins.
  • Estimated lead times for special orders are not guaranteed unless expressly confirmed in a separate written agreement.
  • Customer-provided labels, artwork, claims, product descriptions or packaging instructions are the customer’s responsibility and must comply with applicable laws.

10. Shipping Feasibility and Destination Review

Some destinations may require additional review

Before accepting an order for processing, PEPTIQRA may review whether the destination country, shipping route, carrier option, product type, package type and customer information appear suitable for fulfillment.

  • PEPTIQRA does not guarantee that products can be shipped to every country, region, address, postal code or recipient type.
  • Orders may be refused or delayed if the shipping address is incomplete, undeliverable, high-risk, restricted or incompatible with available carrier services.
  • Customers are responsible for confirming local import rules, customs requirements, product classification, destination-country compliance and lawful receipt before ordering.
  • PEPTIQRA does not control customs decisions, import inspections, customs release, local carrier decisions, seizures, returns, destruction or regulatory actions.

11. Delay, Modification or Cancellation After Submission

How order changes are handled

If PEPTIQRA determines that an order cannot be accepted or fulfilled as originally submitted, we may contact the customer to discuss updated terms, modified quantity, alternative product, updated shipping method, additional processing time, order cancellation or applicable refund options.

  • If the customer accepts updated terms, PEPTIQRA may continue processing under the updated order terms.
  • If the customer does not accept updated terms and the order has not entered non-cancellable preparation, PEPTIQRA may cancel the order and review any applicable refund.
  • If the order has already entered processing, packaging, documentation preparation, production, sourcing, batch reservation or shipment arrangement, cancellation may be limited by costs already incurred.
  • If legally required, PEPTIQRA will provide cancellation or refund options according to applicable law and order status.
Delivery estimates, processing estimates and lead times are estimates only unless expressly guaranteed in a separate written agreement.

12. Customer-Initiated Changes or Cancellation

Customer requests are subject to order status

Customers may contact PEPTIQRA to request order changes or cancellation. Approval depends on the actual order status at the time the request is received.

  • Changes to product, quantity, shipping address, recipient, payment method or packaging requirement are not guaranteed after order submission.
  • Once processing, packaging, documentation preparation, production, sourcing, batch reservation or shipment arrangement begins, cancellation or modification may no longer be available.
  • Customers are responsible for any additional costs caused by customer-requested changes, address corrections, re-shipment, package return, payment change or order modification.
  • Third-party payment fees, bank fees, PayPal fees, currency conversion fees, shipping fees or costs already incurred may not be refundable unless required by applicable law.

13. Refusal of Service

PEPTIQRA may decline high-risk or unsuitable orders

PEPTIQRA may refuse service, cancel orders, limit quantities, block repeat orders, suspend communication or decline future transactions where we reasonably believe a customer has violated our policies, provided false information, engaged in abusive behavior, created payment risk, created compliance risk or attempted an unlawful, misleading or unauthorized transaction.

  • Orders involving suspicious payment activity, chargeback risk, fraud indicators or inconsistent customer information may be held or cancelled.
  • Orders involving restricted destinations, sanctioned parties, unclear product use, customs concerns or compliance uncertainty may require additional review.
  • Customers who provide false information, refuse verification, misuse discounts, make threats, abuse support channels or file false claims may be refused future service.
  • PEPTIQRA may retain order, payment, shipping and communication records for fraud prevention, dispute review and legal protection.

14. Refund Review for Non-Accepted Orders

Refunds depend on payment and order status

If PEPTIQRA does not accept an order after payment has been received, we will review the applicable refund according to payment status, order status, costs already incurred, third-party fees, product preparation status and applicable law.

  • If the order has not entered processing, sourcing, production, packaging, documentation preparation or shipment arrangement, a refund may be issued according to applicable policy and payment provider rules.
  • If costs have already been incurred, such as payment processing fees, currency conversion fees, PayPal fees, bank fees, sourcing costs, custom packaging costs or shipping preparation costs, those costs may be deducted where permitted by law.
  • If a payment provider, bank, PayPal or card issuer applies fees, delays, holds or settlement restrictions, refund timing may depend on the third-party payment provider.
  • Any refund, partial refund, replacement, store credit or cancellation arrangement must be confirmed by PEPTIQRA.

15. Relationship With Other Policies

This Order Acceptance Policy should be read together with our Terms of Service, Pricing, Availability & Error Policy, Payment Policy, Shipping Policy, Return & Refund Policy, Privacy Policy, Cookie Policy and any written order confirmation provided by PEPTIQRA.

  • If there is no separate written agreement, this policy and related website policies apply to the maximum extent permitted by applicable law.
